Booking Conditions - International Students

Terms and Conditions


EuroproLanguage - a division of Europro Incorporated, herein known as ""EuroproLanguage"", 2711 Centerville Road, Wilmington, DE19808, USA, Email: administration@europrolanguage.com, is acting as Agent for the various suppliers of services and accommodations contained in this brochure. Checks, Money Orders, Visa and MasterCard are accepted as forms of payment. Reservations can be made up to six month prior to departure, subject to availability.

RESERVATIONS AND PAYMENTS:
Whenever terms pertaining to individual suppliers are omitted, the following conditions apply: 1 - All reservations are subject to a nonrefundable $15 handling fee. 2 - Arrangements 4 days or longer require a 25% deposit upon booking and full payment 8 weeks prior to departure. 3 - All other arrangements require full payment immediately. Full payment is required before reservations are considered complete and documents can be issued by EuroproLanguage.

CHANGE FEES:
An administrative fee of minimum $30 per transaction will be charged for any alterations or revisions to original reservations, participating hotels, airlines, or suppliers, once EuroproLanguage has issued written confirmation or invoice. For changes once tickets/vouchers have been issued, a minimum $50 per transaction fee, plus charges incurred from participating hotels, airlines, or suppliers will apply.
DOCUMENTS: Every effort is made to have all travel documents in the hands of the passenger before departure from his or her country of residence. In some cases, circumstances dictate that documents be issued and await the passenger at a hotel or terminal abroad. In cases of last minute bookings, or where special mail service is requested, the passenger must pay the cost of this special mail service. For bookings made 30 days or less before departure, this charge will be added to ensure safe delivery.

AIR TRAVEL ARRANGEMENTS:
When issued by EuroproLanguage, air travel, unless otherwise specified, is based on coach class scheduled IATAN carrier service. All fares are subject to change without notice and are nonrefundable. Reservations and ticket usage are restricted. Consequently, reissues, exchanges, rerouting and refunds may not be possible, or the passenger may be assessed additional charges by the airline.

NOT INCLUDED:
International departure taxes and fees, foreign departure taxes and Passenger Facility Charges. Gratuities, except as noted, items of a personal nature, baggage handling and items not specified as being included.

BAGGAGE ALLOWANCE AND HANDLING:
Contact the participating airline for specific details regarding their baggage allowance regulations. Luggage is the passenger's responsibility throughout, and if it is lost or damaged while in the custody of the airline, motorcoach company, or hotel, it is not the responsibility of EuroproLanguage, the tour operator or the selling agent. Baggage and small articles (costs, etc.) are at the owners risk throughout the tour unless insured.

HOTELS:
Every effort will be made to reserve the hotels listed in this brochure. Where, for whatever reason, accommodations are not available, similar type accommodations will be reserved.

HOTEL VOUCHER PROGRAM, CAR PROGRAMS AND CITY SIGHTSEEING PACKAGES:
Are nonrefundable once documents have been issued, regardless of reason for cancellation, unless noted elsewhere in these Terms and Conditions.

TOWN AND COUNTRYSIDE PACKAGES:
Prices are per person, based on double occupancy and include transatlantic airfare to/from cities listed on carrier Icelandair. Air seats are capacity controlled and should space not be available in the designated class of service we will be pleased to request space in another class at a supplemental cost. Single rooms are available at an additional cost. Hotels are based on availability at the time of booking. No refund will be granted for unused hotel nights. All rooms are
""run of the house"". If a deviation from the scheduled program is requested and can be accommodated, there will be a fee of $40 per person. Deviations are not possible for all programs and are subject to availability.

CANCELLATIONS AND REFUNDS:
Cancellation penalties apply based on the date of receipt of the written notice of cancellation: 44-30 days prior-30%, 29-20 days prior-40%, 19-10 days prior-80%, 9-0 days prior-100%. EuroproLanguage strongly recommends that passengers purchase Cancellation fee waiver insurance. No refunds for no-shows. No refunds for unused portions of air, rail tickets and tourist passes. Seat reservation payments on trains when required are nonrefundable. Refunds can never be issued without the unused documents. EuroproLanguage accepts no liability for lost tickets, nor are they replaceable. Documents issued by EuroproLanguage can only be processed for refund through EuroproLanguage.

CANCELLATION FEE WAIVER:
To protect yourself against cancellation charges, we offer a Cancellation Fee Waiver (CFW). For travel arrangements with a gross fare between $0-$499, you pay $80; between $500-$999, you pay $100; between $1000-$2000, you pay $150; over $2000 you pay $200. Cancellation fee waiver must be added to required deposit at the time of booking, is nonrefundable, nontransferable and may not be purchased at a later date. No refunds will be allowed once documents have been issued. EuroproLanguage strongly recommends that passengers purchase (CFW) if such insurance is not already built into the fare. Payment of this nonrefundable charge will protect against cancellation fees incurred before departure at the passenger
''s sole discretion provided that written notice of cancellation accompanied by the travel document(s) is received in the EuroproLanguage office, Mon-Fri, at least 48 business hours prior to the scheduled departure of the vessel/tour. The Cancellation Fee Waiver does not cover cancellation fees imposed by airlines. The Cancellation Fee Waiver will also protect against cancellation fees while traveling overseas provided the cancellation is necessary for one of the reasons shown below. The cancellation must be substantiated in writing (accompanied by unused travel documents) with a doctor''s certificate and a cancellation endorsement by the office/representative abroad, within 90 days of the scheduled sailing date. 1. Illness or injury and attending physician advised that passenger was unfit for travel. 2. Immediate family bereavement and the attending physician advises that passenger''s presence is essential for the patient''s well being. If the Cancellation Fee Waiver is declined or the cancellation is not made in accordance with the above terms, the written ""Cancellations and Refunds"" policy applies.

RESPONSIBILITY:
EuroproLanguage shall be responsible to the passenger for supplying the services set forth in this website, except to the extent such services cannot be supplied due to cause beyond the control of EuroproLanguage in which case EuroproLanguage will use its best efforts to supply comparable services. EuroproLanguage shall have no liability to the passenger for the quality of services and the condition of cleanliness at hotels, onboard vessels etc., or for any transportation delay, including but not limited to liability for inconvenience, shortened vacation time or additional expenses. EuroproLanguage and/or their agents declare all tickets, vouchers, and coupons issued by them and all arrangements for transport, accommodations made by them are made upon the express conditions that they shall not be liable for any accident, injury, property damage or personal loss in connection with any travel service or resulting directly or indirectly from any occurrences or conditions beyond its control, including, but not limited to, acts of God, acts of terrorism, defects in vehicles, breakdown in equipment, strikes, theft, delay, cancellation, changes in itinerary or schedules, or through the act of default of any company or person engaged in conveying the passenger or carrying out the arrangements of the tour or otherwise in connection therewith or of any hotel proprietor or employee. All such losses or expenses will have to be borne by the passenger. The right is retained to decline, accept or retain any person as member of the tour or to cancel or alter the tour. Icelandair and other IATA carriers, and transportation companies whose services are features in these tours are not responsible for any act, omission or event during the time the passengers contract in use by the companies when issued, shall constitute the sole contract between the companies and the purchaser. The full or partial payment for a reservation constitutes consent to all provisions of the conditions and general information contained in this brochure. The terms under which passengers agree to use the services contained in this brochure can not be changed or amended except in writing signed by an authorized officer of EuroproLanguage.

TRAVEL INSURANCE:
EuroproLanguage strongly recommends that all clients insure their vacation against unexpected expenses incurred as a result of damage, or theft of luggage or personal belongings, or for personal injury, accident or illness. It is important for your own self interest and protection that you make certain you have adequate insurance. Check with your insurance agent or travel agent for additional coverage.

PASSPORTS AND VISAS:
Each passenger is responsible for securing a valid passport and visa when required. EuroproLanguage assumes no responsibility for non passage due to lack of, improper or expired visas or passports. Clients must possess a valid passport with an expiration date of at least 6 months after scheduled departure from Europe.
